FACILITY BOOKING POLICY

1. PURPOSE

The purpose of this policy is to establish a fair, transparent and efficient process for the booking and use of Norton Athletic Football Club facilities.

The Club seeks to maximise community use whilst ensuring facilities remain available to support football activities and Club development.

Income generated from facility bookings helps fund:

  • Football development

  • Facility maintenance

  • Community programmes

  • Clubhouse operations

  • Future infrastructure projects

 

2. FACILITIES AVAILABLE FOR BOOKING

Subject to availability, the Club may offer:

Football Facilities

  • Main Pitch
    • Training Areas
    • Junior Pitches
    • Future 3G Facilities
    • Floodlit Training Areas

Clubhouse Facilities

  • Clubhouse Lounge

  • Meeting Rooms

  • Function Space

  • Hospitality Areas

Other Facilities

  • Car Parking

  • Community Event Space

  • Advertising Opportunities

The Club reserves the right to amend available facilities.

 

3. PRIORITY OF USE

Bookings shall generally be prioritised as follows:

  1. Norton Athletic FC Fixtures

  2. Norton Athletic FC Training

  3. Club Events

  4. Community Football

  5. Approved Third-Party Bookings

  6. Commercial Bookings

The Board may vary priorities where appropriate.

 

4. BOOKING REQUESTS

Booking requests may be made through:

  • Club Website

  • Email

  • Telephone

  • Online Booking System

The Club aims to respond promptly to all enquiries.

Submission of a booking request does not guarantee acceptance.

 

5. CONFIRMATION OF BOOKINGS

A booking shall only be confirmed when:

  • Availability is confirmed.

  • Fees are agreed.

  • Any required deposit is paid.

  • Booking terms are accepted.

The Club reserves the right to refuse bookings.

 

6. FEES AND CHARGES

Booking fees shall be determined by the Club.

Fees may vary based upon:

  • Facility type

  • Time of year

  • Duration

  • Commercial or community use

  • Floodlight usage

  • Staffing requirements

Current pricing may be published on the Club website.

 

7. DEPOSITS

The Club may require deposits for:

  • Clubhouse hire

  • Functions

  • Events

  • Commercial bookings

Deposits may be retained where booking terms are breached.

 

8. CANCELLATIONS

Users should provide as much notice as possible when cancelling.

The Club reserves the right to retain part or all of a deposit where insufficient notice is provided.

Cancellation terms may vary depending on the facility booked.

 

9. WEATHER AND PITCH CONDITIONS

The Club reserves the right to cancel or postpone bookings due to:

  • Adverse weather

  • Pitch conditions

  • Safety concerns

  • Maintenance requirements

Where possible, alternative arrangements or refunds may be offered.

The Club’s decision shall be final.

 

10. FLOODLIGHT USE

Where floodlights are available:

  • Additional charges may apply.

  • Usage times may be restricted.

  • Users must comply with operational requirements.

Floodlights shall only be operated by authorised personnel.

 

11. FUTURE 3G FACILITY BOOKINGS

Where a 3G facility is available:

Priority may be given to:

  • Club teams

  • Community football groups

  • Youth football

  • Local schools

  • Community organisations

The Club’s objective is to maximise community participation.

 

12. USER RESPONSIBILITIES

All users shall:

  • Respect Club facilities.

  • Follow Club policies.

  • Leave facilities in a clean condition.

  • Report damage.

  • Follow health and safety requirements.

Users shall be responsible for the behaviour of participants and guests.

 

13. DAMAGE

Users may be held liable for damage caused during their booking.

The Club reserves the right to recover repair or replacement costs.

 

14. HEALTH & SAFETY

All users shall:

  • Follow emergency procedures.

  • Comply with safety instructions.

  • Report hazards immediately.

The safety of participants and visitors remains the Club’s priority.

 

15. SAFEGUARDING

Where children or vulnerable individuals are involved:

  • Club safeguarding policies shall apply.

  • Appropriate supervision must be provided.

  • Booking organisations must comply with safeguarding requirements.

The Club reserves the right to request safeguarding information.

 

16. INSURANCE

Booking organisations may be required to provide evidence of:

  • Public Liability Insurance

  • Appropriate governing body affiliation

  • Risk assessments

where applicable.

 

17. COMMERCIAL EVENTS

Commercial events may be approved where they:

  • Align with Club values.

  • Support Club objectives.

  • Do not adversely impact football activities.

The Board reserves discretion regarding commercial bookings.

 

18. COMMUNITY USE

Norton Athletic FC is committed to supporting:

  • Local residents

  • Schools

  • Community groups

  • Charities

  • Grassroots sport

The Club aims to maximise positive community impact.

 

19. TERMINATION OF BOOKINGS

The Club reserves the right to terminate bookings where:

  • Terms are breached.

  • Safety concerns arise.

  • Facilities are misused.

  • Conduct is unacceptable.

No refund shall automatically be due where termination results from user misconduct.

 

20. LONG-TERM VISION

The Club’s facilities are intended to become a key community asset serving:

  • Football

  • Education

  • Health and wellbeing

  • Community engagement

  • Local businesses

Revenue generated through facility bookings helps support the Club’s long-term sustainability and development plans.

 

21. REVIEW

This policy shall be reviewed annually.

The Board may amend booking arrangements, pricing and operational requirements from time to time.
